Keyholder Services

An essential part of secure property management

Keys to your property will be held in a secure but accessible place to only authorized personnel. If you have an alarm system we suggest you contact your alarm company to set up specific entry codes for our personnel.

Why have key holder services?
Real peace-of-mind, knowing that if you are not resident in Greece, someone you can trust is looking after your property as if it were their own.

We may need to gain access to your property for the following reasons:-

  • Carry out inspection visits
  • Conduct security checks and make sure there are no breaches to your boundaries
  • Carry out any repairs and maintain appliances or equipment
  • Air your premises and conduct spring cleaning at the beginning of the season and/or before your guests arrive
  • Supervise tradespeople working at your property and oversee any on-going work
  • Check and read the electric/water meters.   Ensure you have bottled gas and/or central heating oil
  • Check your mailbox for mail.
  • Visit your property after any unusually bad weather reporting any damage and taking the appropriate action, as well as informing you by email or fax
  • Check all sanitary equipment and plumbing

Your log book will be updated and any recommendations reported.


Rental Package

Should you rent your property through a company or just want friends and family to have a relaxed time whilst staying at your property without the hassle of cleaning, pool management, and laundry changes etc, we operate a separate rental package offering the following service:-

  • Airport collection & delivery
  • Meet & greet at your property
  • Choice of Welcome Packs
  • Pre-season comprehensive clean and set up
  • Beginning of Season Pool Commissioning (option)
  • Mid-Stay Linen change and mini-clean*
  • Changeover clean

This package can be tailored to suit your needs and will incur a separate charge to our management packages, as it is difficult to anticipate your requirements in advance. We will invoice you monthly for this service. CONNEX, INC. will supply all equipment and materials required to operate this service, unless agreed otherwise.

*Optional for stays of one week or less. Advisable for stays of more than 1 week.

Inspection Visits

Programmed inspection visits are your Peace of Mind that all is well with your property and possessions whenever you cannot be here.

We will inspect your property regularly (as per your contract) making sure it is safe and secure throughout the contract period.   We will log every visit and any occurrence in your property log book, which is held securely at our offices, informing you of anything needing your attention both externally and internally via email or fax. For your further information, if we think it necessary, we will photograph the problem attaching it to our communication.

The security of your property is part of our Standard Management package (see Security Services) which also includes monthly garden maintenance, keeping the grounds surrounding your property attractive and blooming whether you are in Greece or away. During our garden maintenance visits, we will also check your boundary fences and walls for any damage and or intrusion, reporting any damage and taking the appropriate action.

Your log book will be updated and any recommendations reported.


Changeover Cleaning (Materials Supplied)

When your property is rented and between changes of tenants we will:

  • Air the property
  • Clean windows
  • Sweep and mop all floors, balconies, and terraces
  • Sanitize food preparation areas
  • Dust and polish surfaces
  • Check appliances for correct operation*
  • Replace light bulbs if necessary (excluding in-pool lights)
  • Remove rubbish
  • Sweep and tidy outside areas and replace any stored outside furniture
  • Place “Welcome Home Hampers” in kitchen
  • Check and clean oven and hob if necessary. (logical limitations apply)

Your log book will be updated and any recommendations reported.

* NB: fridge/freezer to be left on


Pro Builders Cleans (materials supplied)

Please note that this is an optional service not included within the pricing of our Management Packages.

If you have just had your property built it will often be in need of a “Builders Clean”, although some builders will conduct one prior to handing over the keys.

A Builders Clean will consist of removing such soiling as grout and tile adhesive from newly tiled floors, plaster from floors, paint splashes from surfaces etc. The removal of such substances will require very different chemicals from the ordinary domestic cleaning ones and need careful handling with the appropriate PPE (personal protective equipment)

Daily Maid Service

Please note that this is an optional service not included within the pricing of our Care Packages.

By prior arrangement, we will organize for a housekeeping person to visit your property daily, at agreed times, to carry out the cleaning tasks you require. Hourly rates will apply depending on the location of your property.

All external cleaning staff will have been vetted by our company or will be highly recommended by someone we know well and can be relied upon to be trustworthy.


Window Cleaning (Materials Supplied)

As part of our general cleaning program we will clean your windows, patio doors, and external glass either with a streak free solution or professional window cleaning equipment. See below……

Before you or your guests arrive we will:

  • Air the property
  • Clean windows
  • Sweep and mop all floors balconies and terraces
  • Clean kitchen cupboards, cutlery, crockery, utensils and appliances
  • Check and clean oven (logical limitations apply)
  • Sanitize food preparation areas
  • Dust and polish surfaces
  • Check appliances for correct operation*
  • Replace light bulbs if necessary
  • Remove rubbish
  • Sweep and tidy outside areas and replace any outside furniture stored over the winter
  • Place “Homecoming Hamper” in kitchen
  • Outside kitchens and BBQ areas checked and cleaned
  • Pool surrounds and pool furniture checked and cleaned

Pool Maintenance Programme and Commissioning

As well as the items below we will maintain all the major components of your pool including the Pool Filter (back-washing as required), Pool Pump, Skimmers, Strainers and any Dosing Meters. Our Platinum Package includes the replacement or repair of the pool pump, provided it has not been abused or miss-used.

Should you have a brand new pool, not previously used, we are able to commission this facility, co-operating with your pool installers, and using ISRM procedures. Pre-Commissioning after more than a year of non-use can also be carried out. Please ask us to quote for either of these procedures.

  • Daily/weekly/monthly we will skim the surface of the pool and remove any floating debris that has entered the water.
  • Daily/weekly/monthly we will brush and/or suction clean the bottom of the pool removing debris.
  • Daily/weekly/monthly we will brush and/or suction clean the internal sides of the pool removing algae and body/lotion ring stains
  • We will supply the cleaning equipment and pool chemicals
  • The backwashing of filters will be carried out on a programmed basis (please note that this procedure will be charged for separately excluding our Platinum Package)

All pool cleaning and maintenance procedures will be in accordance with the British Institute of Sport and Recreational Management (ISRM)

Garden Maintenance

We will maintain your garden and outside space to your chosen contract specification visiting weekly, fortnightly or monthly throughout the year.

Trees, hedges, shrubs will be pruned, beds weeded, grass cut with edges trimmed and any irrigation system checked.   If no irrigation system is installed we can quote and install to your needs, in this case, an outside tap and hose will be required.

Patios and paths will be swept keeping all your outside spaces maintained and tidy throughout the year.

Walls, fences, and boundaries will be regularly checked with any damage or repairs being logged and communicated to you, with photographs, if serious.

Other Garden Services Available

  • Installation of irrigation systems and timers

Minor Repairs & Maintenance  (Limitations Apply)

During our regular inspection visits within your Platinum Package, should any repairs or specific maintenance be required to your property, we will carry out these tasks up to a maximum cost of €100 (including materials) without further charge. As these repairs will be deemed ‘minor’ we will not seek prior approval before completing them. Your ‘Log Book’ will reflect these and all other tasks we perform.

Over this amount, and if we do not carry out the work ourselves, we would obtain quotes from Professional Trades People and written consent from you, the owner, to instigate repairs. If you instruct us to go ahead with the repairs we require cleared funds which would be placed on an account until we were satisfied the work was carried out to the standard required.

We will ensure that all work is carried out to a high standard, ensuring that nothing is altered or marked and that your property is left in a clean and tidy condition.

Our Gold Package includes the cost of repairs up to €50 using the above procedures.

Linen Hire

When renting your property, obviously, you will need much more items of linen and therefore we are able to arrange the option of hiring all these items. All linen hired through us will be supplied in white as per EOT requirements.

We are able to provide most linen items you may require, such as:

  • Fitted sheets
  • Fitted mattress covers
  • Flat sheets
  • Pillowcases
  • Bath towels
  • Hand towels
  • Beach and pool towels

Linen supplied is of a high quality and is available in all sizes meeting current EOT standards.

Please note that if you loose linen items that have been hired we reserve the right to charge for the replacement costs.

Appliance Annual Servicing

We will arrange with a reputable service agent or manufacturer/supplier to visit your premises and service each electrical appliance every year.   We envisage this to be both a ‘PAT’ (portable appliance test) type electrical safety check and machine service in accordance with the manufacturers’ recommendations. If central heating is installed at the property we will arrange for a reputable Heating Engineer to service the equipment according to the manufacturer’s maintenance schedule.

These reports and any recommendations will be forwarded to you for your consideration and/or records.   Copies will be kept at our offices for future reference.

Appliance Check

At the beginning and end of each season, we will check each electrical appliance for correct operation including any associated (RCU) remote control units replacing batteries as needed. (batteries supplied will be chargeable) We will check and remove/ clean any filters within the appliance (fans, dishwashers, a/c units, washing machines etc) and check their correct operation.

Should any of these need replacing we will make a note in the property log book and inform you of the cost of replacement, unless the costs are covered by the Management Package you have chosen.

At the end of each season, we will report on the condition of each appliance and its suitability for the next season.

Emergency Call Out Service

We provide a dedicated phone number available 24 hours a day 7 days a week for all emergency situations at your property.

Please be aware that this is an emergency service for serious situations and is NOT to be abused. If this service is used for non-serious situations we reserve the right to charge up to €100 per call out, payable at the time of visiting.

Pest Control Services

Please note that this is an optional service not included within the pricing of our Management Packages.

Should you require these services we will arrange for a reputable professional local company to visit your property as soon as possible.

Unless pre-arranged, payment for this service will be due at the time of the pest control company calling.

Drain Block Rescue

Please note that this is an optional service not included within the pricing of our Care Packages.

Should you require a drain or sewer unblocked we will arrange for a reputable professional local company to visit your property as soon as possible.

Unless pre-arranged, payment for this service will be due at the time of the drain company calling.

Your log book will be updated and any recommendations reported.


Septic Tank Emptying

Please note that this is an optional service not included within the pricing of our Management Packages.

Should you require these services we will arrange for a reputable professional local company to visit your property as soon as possible.

Unless pre-arranged, payment for this service will be due at the time of the pest control company calling.

Your log book will be updated and any recommendations reported.


Car Hire Arrangement

We have good relationships with some of the more reliable quality companies and are able to pass on competitive rates negotiated on an annual basis.

If you have any special requirements just let us know in advance.

Please note that during the high season we cannot always guarantee to arrange hire of particular types of a vehicle when you may require them. However, we will try harder than most to get what you want when you want it.

Ref Platinum Package holders:
Should you not own a vehicle in Greece your Platinum Package will cover the cost of economy + car hire for up to 7 days per year.


Meet and Greet Service

We will meet and greet your guests at your property providing them with keys, local information and making sure they are aware of your “house rules” together with any Health & Safety issues. Please make sure we are aware of your guests/tenants names, arrival times with airport details and flight numbers.   We will demonstrate the use of any appliances they are unfamiliar with and make them aware of the Property Information Pack.

We can also arrange:

  • Airport transfers
  • Fridge stocking service
  • Hire of baby cots, highchairs, and car seats
  • Car, scooter and cycle hire

Bill Handling And Forwarding

During Inspection visits, we will check your mailbox for bills. Please inform us if your mailbox is not located on the property. We will arrange for the payment of any utility bills (electricity, water, and telephone) avoiding any disconnection/reconnection fees, provided you have arranged for funds to be available.

Should there be any problems which involve further contact with DEH or OTE offices or visits to the Town Hall then additional charges may be incurred.

All payments, collections, and problems will be entered into your property log book.

Cleared funds should be made available to ensure the prompt payment of all bills unless other arrangements have been put in place.

All other mail can be forwarded to our offices or other agreed addresses.

Pre-Season or After Season Spot Decoration (materials not supplied)

If your property has been used or rented throughout the season it may become necessary to conduct some spot decorating to keep your premises in top condition.

As part of our Platinum Package, we will, with your consent, carry out this work provided you are able to tell us the paint color and manufacturer. We will, with logical limitations, repaint the internal parts of your property to keep it looking in the best condition for its age.

We will source the paint materials required (provided they can be bought locally in Western Greece) and the amounts needed, faxing or emailing you the information for approval before purchasing the materials and starting the redecoration.

Assistance Obtaining An EOT Licence

Please note that this is an optional service not included within the pricing of our Management Packages.

Should you require this service we will arrange to visit you to explain the application procedure, the implications affecting your property and help you apply for the correct forms. Thereafter we can guide you through the maze of Greek bureaucracy. We can also put you in touch with professionals able to advise in these matters.

Unless pre-arranged, payment for this service will be due when an invoice is raised, solely based on time spent.


Insurance Advice

Should you need an advice of this nature, we have good relations with a major Company based in Greece and who have a link on our ‘Useful Links’ page.

This company has supplied and/or arranged our Company Insurance Policies and therefore we can recommend their services from a ‘first hand’ point of view.


Pool Commissioning

Should you have a brand new pool, not previously used, we are able to commission this facility, co-operating with your pool installers, and using ISRM procedures. Pre-Commissioning after more than a year of non-use or at the beginning of a season can also be carried out. Even if your pool was emptied at the end of the season, rainwater will have collected in the bottom usually facilitating a pump out /drain out. Please ask us to quote for these procedures.

As a general guide, we charge approx € 150 without chemicals and €199 with chemicals per commissioning a pool of 20 to 30 square meters

Procedures for pool commissioning are generally as follows:-

  • Pump out/drain if necessary, usually, there is some stagnant rain water in the pool at the beginning of a season. We advise that pools are not left empty for long periods of time
  • Thoroughly clean pool base, sides and surrounds
  • De-scale if required including the grout lines
  • Clean removable filters, skimmers etc and check the operation of pumps and all other pool machinery.
  • Check pool for cracks and damage. Repair as required at additional cost
  • Refill pool to correct levels and check for leaks. Any water costs will be charged to addition and PH levels noted
  • Run all equipment and check operation. Backwash the main pool filter if needed
  • Test the water’s PH again and add required chemicals to start balancing the pool water
  • After 24 hours the following tests are completed to make sure the water is balanced and safe for bathers to use (PH, Free Chlorine, Total Residual Chlorine, Total Alkalinity and Calcium Hardness) These will be noted in your Log Book
  • Set timers for the pool pump operation if applicable

All pool cleaning and maintenance procedures will be in accordance with the British Institute of Sport and Recreational Management (ISRM)

Note we have insurance policies covering damage to your pool caused by our staff

We will supply all pool commissioning and maintenance equipment together with chemicals unless previously agreed otherwise when there may be a discount
